Cleaning that is measured, not described

“Clean” is an opinion until somebody writes down what it means. Every area we work in has a stated quality level, a defined inspection method and a record of what was found. That is what the certificates below are for, and it is why our monthly reports contain numbers rather than adjectives.

ISO 9001:2015

Quality management system, first certified in 2018. Last recertified on 12 March 2025 and valid until 11 March 2028, with a surveillance audit each year.

ISO 14001:2015

Environmental management, certified since 2020. Renewed on 21 April 2026 with no non-conformities, valid until 20 April 2029.

ISO 45001:2023

Occupational health and safety management, certified in 2023 and valid until 8 June 2027. Covers all field work, including height work and confined spaces.

How the result is checked

Results are assessed to INSTA 800, the Nordic standard for measuring cleaning quality. Each area in the task list is assigned a quality level from 1 to 5, and an inspection counts the visible residues in a defined sample of surfaces rather than asking whether the room looks tidy. Two of our supervisors are trained assessors.

Each contract gets one scheduled inspection per month plus unannounced spot checks. If an area fails, it is re-cleaned within the next shift and re-inspected — and the failure still appears in the monthly report. Hiding a failed inspection costs more than fixing it, and the crew know that we mean it.

Every shift leaves a written work record on site: who was there, what was done, what was skipped and why. Since 2025 the record is photographed at the end of the shift and emailed the same night, which was the one thing our clients' supplier assessments consistently complained about.

Training and cards

Nobody works on a client site until the induction is done and the cards are in date. We keep a training register per employee and check it monthly.

Traceability and documents

Chemical dosing is verified quarterly against a measured sample, and the result is recorded per satellite unit. Safety data sheets live in the site folder and with the crew supervisor, in Finnish and in English. Waste consignment notes are filed and copied to the client's own environmental folder in the same week.

Keys and access cards are held in a numbered register: one holder, one signature, one return. Lost keys have to be reported the same day, and we pay for the re-keying if the loss is ours. Work records and inspection results are kept for six years.

Environment and safety

The measure that matters in this trade is litres of chemical concentrate, not bottles bought. Dosing by pump instead of by eye cut our concentrate use by 14 % between 2023 and 2025 while the contract base grew. Machine water consumption fell for the same reason: the new ride-on machines meter their own dosing.

Grit is swept and collected in spring rather than washed into the drains, spent coolant goes to a licensed disposal contractor, and the depot's lighting and vehicle heaters were replaced in 2022. We report near-miss incidents deliberately and often: the number going up is a good sign, and it is discussed at the monthly supervisors' meeting rather than filed.

These come from our own scheduling and reporting system. “On time” is measured against the window agreed with the client, not against an internal target.

The rise in near-miss reports is intentional. We lowered the reporting threshold in 2023 and ask supervisors to file anything they had to think twice about.
